USAWP TERMS AND CONDITIONS

Participant Policy

All host and participating U.S. clubs, athletes, coaches, and officials must be USAWP members in good standing. International teams must complete and sign the International Team Waiver form and provide valid, government issued identification documents in order to participate in USAWP events. The Team Waiver form will serve as the team roster. International athletes, coaches, and officials participating as individuals on or with a USAWP club must be members of a World Aquatics recognized organization and have a letter on file with USAWP from their home federation authorizing them to participate in USAWP sanctioned events; or purchase a USA Water Polo membership.

Referee Assignment Policy

Referees at USAWP Sanctioned Events shall be assigned by the Zone Head Referee for the Zone in which the event is to be held, or the Zone Head Referee's designee.

Insurance Policy Coverage

Should a non-registered player or coach participate in a sanctioned event, the insurance coverage provided by USAWP's Insurer may be declared invalid. USAWP has the right to check all participants' registrations and to retroactively remove its sanction should any violations be found. Host/Event Director agrees to hold USAWP harmless should USAWP remove its sanction, since it is the host responsibility to determine that all participants are appropriately registered.

Properly sanctioned events will be covered under USAWP's insurance policy in effect at the time that the event is held.The Host/Event Director agrees to promptly provide any additional information requested by USAWP and/or the Insurer in order to obtain insurance coverage. This includes, but is not limited to for example responding to supplemental questions for events held as Beach or Open Water Events. Insurance coverage for such events is contingent upon answering additional questions and the implementation of any appropriate safety precautions requested.

If the event is sanctioned prior to the inception of the policy year during which the event is held, policy limits may have changed, and the most current policy will prevail.

Zone Approval Process

In order for an event to receive a sanction, it must be approved by both the Zone Chair for the Zone in which the event is to take place and USAWP. Therefore, before submitting an event sanction through USAWP, please be sure to check your individual Zone's policies. Your event will not appear on USAWP's web site without Zone Chair approval.

Competition Rules & Tournament Entry

All competitions must be played under official USAWP rules, as posted online, unless modified with USAWP's approval. Any modifications to USAWP's official rules must be included in competition entry forms. USAWP clubs and members must be offered the opportunity to enter your event, consistent with your competitive rules, on a non-discriminatory basis.

Sanctioned Roster Verification (Non-National)

All participating clubs must submit verified rosters through the sanctioned roster verification system for all leagues and tournaments. Rosters must be submitted by the club administrators and/or coaches and shall be sent to the tournament director. Although recommended, athletes are not required to play with the team in which they are currently affiliated. If a club wishes to enforce a club affiliation rule, they must contact the National Office for approval prior to the event sanction request.

Camp/Clinic Registration

All participants are required to register through the USAWP verified roster system. This includes coaches facilitating the camp/clinic in addition to athletes who are participating. USAWP does not sanction overnight camps, only water polo day camps.

USOPC Event Sanctioning Checklist

Should Applicant conduct an International Athletic Competition in the U.S., they must submit an audited or notarized financial report of similar events, if any, conducted by the applicant to USA Water Polo.

Host/Event Director must ensure that any competition records established during the competition are validated by authorized officials.

If a sanctioned event falls within the jurisdiction of World Aquatics, USA Water Polo requires all Host/Event Directors to ensure that record keeping and documentation of competition results is in accordance with World Aquatics requirements when applicable; World Aquactics Website Water Polo

Athlete Safety

Host/Event Director will follow the safety protocols for medical supervision as specified at each specific pool event site covered under this sanction request.

Applicant will follow USA Water Polo, The Center for SafeSport and USOPC safety precautions to protect the personal welfare of the athletes and spectators at the competition by among other things following USA Water Polo’s Quality Control System Document, Spectator Policy and other requested safety and compliance protocols and other safety requirements as specified at each specific pool event site.

Photo ID Check

Coaches must provide a USAWP sanctioned event verified roster or USAWP verified scoresheet to the scorer's table prior to each game. Athletes and coaches must provide a valid form of identification (government-issued ID, copy of passport, school ID, or USAWP membership ID - temporary card OK) to the referees prior to participating in each game. USAWP's Photo ID Check Policy can be found on the USAWP website.

Media & Photography Policy

USAWP is the sole owner of all right, title, and interest to all television, radio, internet, and other media broadcast rights. The taking of photographs, other than photographs taken for the personal use of a participant at the event or the use of a USAWP member club, is prohibited. In no event shall any photographs taken at the event be used for any commercial purpose including, without limitation, posting such pictures upon any website containing advertising without USAWP's prior written consent, which may be granted or withheld in USAWP's sole and absolute discretion. Any transmission, picture or other depiction or description of any game action, game information or person participating in any game is prohibited without USAWP's prior written consent, which may be granted or withheld in USAWP's sole and absolute discretion. USAWP reserves the right to instruct individuals to cease taking photographs.
